Three records most domains are missing

Check almost any Egyptian SME domain and you will find SPF missing or wrong, DKIM not signing, and no DMARC at all. That does two things:

  • Your real mail gets filtered, because receiving servers cannot verify it.
  • Anyone can send email that looks like it came from your domain. That is how most "please update our bank details" fraud works.

Fixing it takes an afternoon and costs nothing but the setup. We do it on every mail job, and we check it free for anyone who asks. How the three records work.

Migration, in order

  1. Read what exists. Mailbox sizes, aliases, forwarding rules, distribution lists, shared calendars, and the DNS as it currently stands.
  2. Build the target. Tenant, domains, users, groups, and the security baseline before any data moves.
  3. Synchronise. Mail, calendars and contacts copy across while everyone keeps working on the old system.
  4. Cut over DNS. A short overlap where both systems receive, so nothing is lost in flight.
  5. Delta sync and close. Catch the last messages, then decommission.

Licensing is not one-size

Most companies over-license. Not everyone needs the top tier: a warehouse supervisor who needs mail and Teams on a phone is a different licence from a finance manager living in Excel. We map licences to roles and usually take 15–30% off what the default proposal would have been.

Leavers

The procedure we hand over covers the part most companies get wrong: what happens on the day someone leaves. Access revoked, mailbox converted to shared so the history survives, licence reclaimed, forwarding set for a defined period. Written down, so it happens the same way every time.
